Using Master Projects

An alternative to the Library is the use of one or more "master" projects. These can be used as prototypes or models that list everything that goes into a room but uses skeleton specs as placeholders or can have all objects and their component specs fully detailed. This can be used for anything from recording a set of prototype specs which will be used for many projects (to meet franchise "brand" standards) to maintaining those specs as objects in pre-defined room types (such as low/medium/high quality versions of a standard room) to complete building prototypes.

The Add> or Edit> Import commands on the Specifications List, and the Add> Import command on the Object List and Room List forms will let you import a single spec, single object (and its specs) or an entire room (with objects and specs) from another project. Additionally, a master project can also be copied in its entirety using the Clone command on the Project List form. After copying a project, the following procedures may be used to adjust its contents (all of this is done in the new project, not the original that was copied!):

  1. The overall markup or purchasing fee, estimated tax and estimated freight percentages in the project setup data can be adjusted for the new project. The system will let you make these adjustments to 1) all specs, 2) all new specs, 3) to all new specs and specs which had the old percentage (that is, which were not assigned a special rate) and 4) to all specs, adjusting the nonstandard percentages proportionally. Making a change to one of these automatically performs an update when you save the project record. Note: this type of change cannot be completed when someone else is editing a specification.
  2. The prices on the specs can also be updated using the more powerful Utilities> Pricing Tool command that is available on the Specifications List, Object List and FF&E Worksheet screens. 
  3. The default Tag assigned to any object can be changed by editing the object on the Object Form and over-typing the current tag. You can change a tag to any other tag that does not already exist in that project. If you are making many changes like this (especially if you are re-using some of the tags), you should probably mark up an Object List by Tag report to plan an orderly sequence. Note: Changed tags in the Object Form will be automatically reflected in the Worksheet, since the occurrences have not been changed and still point to that object. Also, if the primary spec for an object uses a Spec ID that matches the Tag, FF&EZ will offer to change the Spec ID to match if you decide to change the Tag.
  4. If a clone of a master project contains alternate schemes for different room types, you can delete the rooms which are not applicable to the project. If you do, remember that deleting a room and its contents does not delete the objects or the associated specifications for the contents. These can be left in for reference or deleted (the presentation reports on the FF&E Worksheet do not print objects or specifications which are not used in the Worksheet, however, both the Object Form and the Spec Form include an Object Usage and Spec Usage Reports that can be used to determine which specs and objects have not been used.). 

Alternatively, if you only need a few rooms from a master project, use Add> Import on the Rooms Form in your new project to simply import the desired rooms. This is best done at the beginning of a project so that conflicts with existing object Tags and Spec IDs are easy to deal with.
