You can track ten different interior design submittal types plus two user-defined types for each specification. Each submittal type has a date associated with the last update, and a "Note" button can be used to add a date- and user-stamped note for that type in the "Submittal Notes" field.

Key Concepts

  • Under normal circumstances, the system only prints submittals that have been "activated" by setting the "Status" higher than 0. As of this writing, the submittal requirements are printed on the FF&E Worksheet's "Illustration Sheet" report format and the full submittal status is printed on the Specification screen's "Specification Status" reports.
  • Each time you change the status of a submittal, the date to the right is updated with the current date. You can manually set the date if needed.
  • You can add a date-stamped (and user-stamped) note for any submittal using the buttons shown.
  • The two blank submittal titles can be set as needed and can differ from one specification to another.
  • The "Spec Status" section of the Specifications screen displays the total number of required submittals for a product and how many have been approved by the designer.
  • The Query tool includes entries for each submittal field, however the most useful selection for querying is the "Submittal Required" and "Submittal Pending / not approved" options, which are either true or false and apply to all submittals within each spec. Therefore, they can be used separately to display all specs that require submittals (of any status) or all specs that have pending submittals.
  • Once the Specifications screen is visible, you can use [Alt-B] to toggle the submittal display on and off. This is a shortcut key for the checkbox at the bottom of the screen:

Fields and Commands

Status

The status options progress from "not required" to "approved":

0-Not Required
1-Required/Pending
2-Received
3-Returned for revision
4-Approved with notes
5-Approved

Submittals with a status of 0 are shown in grey text to make active submittals easier to see. Those with a status greater than 3 are shown in green. A similar effect is used when not in "editing" mode.

As Of

This shows the date of the last status change, including when the submittal was set to "required." This date is set automatically if you change the status of the associated submittal.

Since this is a date entry field, you can override its value by typing a different date or using one of the date shortcuts to move the date forward or backward.

The small "note" buttons create a date-stamped (and where applicable, user-stamped) note for that submittal. The new note pushes existing notes down in the "Submittal Notes" field. The small button next to that field creates a general note (without a reference to a specific submittal).

Reset Status

This button resets the status of all active submittals to "1-Required/Pending." It can be used if you cloned a project or spec or imported one and did not reset the status during that process, but wish to retain the original requirements for a new project or for a similar product. Clear All

This button clears all submittal requirements for the current spec. Similar to the above, you can use it if you cloned a project or spec or imported a spec and did not clear the requirements of all specs at that time.
